Job description
Why this role matters You know logistics. Not just the theory—you’ve done it. You get documents right the first time, stay ahead of stock issues, and don’t need three tries to get something moving. At Helin, your job is to keep our offshore operations running smoothly, from shipping spare parts to onboarding engineers flying out next week. We’re not looking for a junior, and we’re not hiring a manager—we want someone experienced, sharp, and ready to step in and take ownership from day one.
You’ll coordinate critical shipments, manage inventory, and support offshore onboarding—fast, clean, and with structure. This role demands precision, speed, and the ability to improve the process while you run it.
Your responsibilities - Organise and monitor ex works shipments of hardware and spare parts to our clients worldwide
- Prepare shipment documentation: pro forma invoices, packing lists, and payment proofs
- Align with freight partners and internal teams to avoid delays
- Track inventory across product lines and flag gaps before they become issues
- Creation and Issuing of purchase orders towards suppliers
- Registration of incoming hardware in the asset management tool (Snipe) and assigning it to the relevant projects
- Procurement of all projects related hardware and software requirements
- Coordinate onboarding logistics for offshore deployments: trainings, visas, travel, and documents
- Propose and implement process improvements across logistics workflows
- Keep communication tight and everyone aligned—internally and externally
You’ll be working closely with our COO, engineers, project leads, and operations team. You’ll be trusted to improve things—not just keep them running.
Qualifications
Must-haves: - A bachelor’s degree in logistics, supply chain, or similar
- 3+ years in international logistics or transport coordination
- Strong grip on Incoterms, HS-codes, customs documents and policies, and export compliance
- Confident working with freight partners and resolving delays fast
- Highly accurate—you’re known for getting it right the first time
- Good communicator in English, both written and spoken
- Comfortable with Excel and logistics tooling
- Based in the Netherlands and available for hybrid work (3 days in-office)
Nice-to-haves: - Experience in offshore, energy, or industrial logistics
- Familiarity with onboarding logistics: travel, visas, safety documentation
- You’ll work with Exact online, SharePoint, Snipe-IT, Teams, and your spreadsheets. We’re scale-up minded: structured where it matters, flexible where it helps. There’s space to improve how things are done if you bring the structure to do it.
